Contract Administrator

Job Summary

 

The IT Contract Administrator is responsible for the day administration and execution of IT contracts, ensuring that contractual activities are performed accurately, on time, and in full compliance with company procedures, approved contract terms, and governance requirements. This role exists to ensure IT contracts are executed cleanly, no missed renewals, no payment errors, no audit gaps, and no ambiguity between IT, Procurement, and Finance. This role supports IT Contract Account Managers and IT Service Owners by providing operational control, documentation integrity, and transactional discipline across the IT contract lifecycle.

 

Responsibilities

 

  • Manage the administration and lifecycle tracking of IT contracts across software, infrastructure, cloud, and managed services, ensuring accurate documentation and record-keeping.
  • Process and maintain contract data, including milestones, validity dates, and documentation within ERP systems and contract repositories.
  • Execute operational procurement activities such as purchase requisitions, purchase orders, service entries, and invoice validation.
  • Verify alignment between delivered services, contractual terms, and supplier invoices to ensure accuracy and compliance.
  • Monitor contract spend against approved budgets, track renewals and variances, and escalate financial risks or anomalies.
  • Support financial planning activities including forecasting, accruals, and reporting on contract performance and spend.
  • Coordinate with internal stakeholders (IT, Procurement, Finance, Legal) and act as a liaison with suppliers for contract administration matters.
  • Ensure compliance with internal policies, financial controls, and governance requirements, while supporting audit processes and flagging risks or deviations.

  • Good coordination and communication skills.
  • Strong attention to detail and accuracy.
  • Understanding of contract administration processes.
  • Basic commercial and financial awareness.
  • Strong documentation and reporting discipline.  
  • Ability to manage multiple contracts and stakeholders simultaneously.
  • Proactive problem-solving and decision-making abilities.
  • Knowledge of HSE and regulatory compliance in contract execution.
  • Team players with leadership potential and accountability mindset.
  • Proficiency in MS Office and ERP tools (e.g. SAP). 
  • Comfortable working with licensing metrics (users, cores, consumption, subscriptions)
  • Ability to work with technical service descriptions and SOWs
  • Confidence questioning invoices or service confirmations when something doesn’t match

Education & experience 

 

  • Bachelor’s degree in business, Procurement, IT, Engineering, or related discipline.
  • Certified by a Contract Management Exam (CME) Or by CIPS (Chartered Institute of Procurement & Supply)
  • Typically, 3–5 years’ experience in contract administration, procurement support, or IT operations 
  • Experience working with ERP systems and contract documentation 
  • Exposure to IT contracts and regulated environments is an advantage

  • The IT Contract Administrator does not own commercial decisions, negotiations, or supplier strategy. 
  • These remain with the IT Contract Account Manager and Procurement, in line with Azule governance standards

Governance

Azule Energy is an incorporated joint venture (IJV) between BP p.l.c. and Eni SpA. bp and Eni each holding a 50% share. Azule Energy operates in Angola under different Petroleum agreements which set out its contractual relationship with the Angolan Government (represented by the National Concessionaire). The referred agreements provide the framework for carrying out the Petroleum operations.
